Notice Regarding General Admission Ticket Refunds for Solarcon 2025
In light of our decision to make General Admission (GA) tickets to Solarcon 2025 free of charge, Solarcon will offer refunds to individuals who previously purchased GA tickets. The following terms and conditions govern the refund process. By seeking a refund, you agree to comply with these terms in full:
1. Eligibility: Refunds will be issued exclusively to original purchasers of General Admission tickets who can provide valid proof of purchase.
2. Refund Location and Time: Refunds will be issued only in person at the official Refund Booth located inside the Solarcon 2025 venue. Refunds will be processed on Day 2 and Day 3 of the convention, between the hours of 10:00 AM and 3:00 PM each day. Refunds will not be issued outside of these times or locations.
3. Required Documentation: To obtain a refund, the original purchaser must:
• Be physically present at the Refund Booth;
• Present valid, government-issued photo identification;
• Provide proof of purchase (e.g., receipt, confirmation email, or ticketing platform transaction);
• Present the original form of payment used for the transaction.
4. Non-Transferability: Refunds are non-transferable and will be issued only to the original purchaser. If multiple GA tickets were purchased using the same payment method, the purchaser who owns the payment method must be present and will receive the refund for the entire transaction.
5. Upgraded Tickets: Attendees who purchased VIP, Onyx, or other upgraded ticket types may request a partial refund for the General Admission portion of their ticket only. The upgrade portion remains non-refundable. Attendees who wish to upgrade their tickets or add additional experiences may do so as a new and separate purchase, subject to availability and current pricing at the time of transaction.
6. Refund Limitations:
• Refunds may not be credited or applied toward upgraded ticket types or other services;
• Upgrades to VIP, Onyx, or other enhanced experiences must be purchased as new transactions, subject to availability at the current posted rates.
7. No Exceptions: Refunds will not be issued after the stated refund period or outside the designated method of in-person redemption. No remote, online, or mail-in refund options will be available.
8. Discretionary Authority: Refunds are not guaranteed, and Solarcon reserves the exclusive right to deny or reject any refund request, at its sole discretion, including but not limited to circumstances where eligibility is disputed, documentation is incomplete, or where Solarcon management determines that the request does not satisfy the terms set forth herein.
9. Fraudulent Claims: Any attempt to obtain a refund through fraudulent means—including submission of altered or falsified documentation, misrepresentation of purchase status, or duplicate refund attempts—will result in automatic denial and may be referred to event security or appropriate legal authorities.
10. Effect of Refund: Upon issuance of a refund, the associated General Admission ticket purchase will be considered void. However, the badge holder may continue to use their assigned event entrance badge for access. All badges are non-transferable once assigned, and no replacement badges will be issued in connection with any refund.
11. Ongoing Agreement to Event Policies: By seeking or accepting a refund, the purchaser acknowledges and agrees to remain bound by all Solarcon event policies, terms, and conditions governing event attendance, including those related to conduct, safety, liability, and participation.
12. Accessibility Accommodations: Solarcon is committed to providing reasonable accommodations for individuals with disabilities in accordance with the Americans with Disabilities Act (ADA). Any individual requiring special assistance to access the Refund Booth or to complete the refund process due to a disability or accessibility concern may contact Solarcon management directly at the event or in advance via email at [INSERT ACCESSIBILITY CONTACT EMAIL].
13. Refund Processing Timeline: Refunds will be returned to the original form of payment unless otherwise approved by show management. While most refunds will be processed on-site, please allow up to 5–10 business days for the refund to appear, subject to bank or card processor timelines. Solarcon is not liable for delays, issues, or errors that occur as a result of any payment processors or financial institutions.
14. Dispute Resolution and Waiver of Claims: Receipt of a refund constitutes an express waiver of any and all claims against Solarcon, its affiliates, and its management in connection with the original General Admission ticket purchase. Any disputes arising from the refund process or its administration shall be governed exclusively by Solarcon’s Terms of Service and shall be resolved solely at the discretion of Solarcon show management.
